What is the official conference language of Velo-city 2013?

The official language of Velo-city 2013 will be English. All program content and documentation will be available in the English language.

Will there be simultaneous translation available during Velo-city 2013?

The official conference language at Velo-city is English. In Vienna, there will be selected plenary speeches held in German, for which a simultaneous translation into English will be available. The main plenary speeches will be translated into German. No other simultaneous translation will be available.

The conference fee seems very high. What is included in the Velo-city 2013 conference ticket?

Velo-city 2013 is a professional conference venue with a conference fee reflecting the content and dense conference program offered. The ticket for Velo-city 2013 includes:

  • access to the full academic program of Velo-city 2013,
  • a ticket for free public transport in Vienna (11-14 June 2013),
  • coffee, refreshments and lunches during the conference days,
  • a rental bicycle from 11 to 14 June 2013 (deposit required),
  • a rental helmet (in case you prefer to cycle with a helmet),
  • a bicycle lock,
  • a conference bag,
  • the Garden Party on Wednesday, 12 June 2013, including the Gala Dinner and Johann Strauss Concert,
  • the exhibition opening event at MAK – Museum of Applied Arts Vienna,
  • academic tours in Vienna between 11 and 14 June 2013,
  • Velo-city 2013 side-events: Film Nights, Bicycle Picnic Freudenau, Bicycle Bell Concert, Giant Wheel Parade with Kaiserschmarrn Party.

How can I get a free ticket for Velo-city 2013?

Regrettably, general Velo-city conference guidelines do not allow us to offer any free conference tickets to participants. However, there exist several possibilities to reduce overall cost, such as early bird registration or participation as a student or within the scope of the contingent set aside for ECF member organisations. Until end of March 2013, you can also participate in the Cycling Visionaries Awards, which rewards winners with a free conference ticket.

Is there any way to reduce the conference fee?

There are several ways to obtain a reduced conference ticket, i.e. student tickets (with valid student ID), the special fee for contributors and reviewers, and the ECF member discount. Please have a look at the conference fees via this link.

Is there any possibility for financial support to cover my travel expenses for staying in Vienna?

Unfortunately, we cannot pay any travel or hotel costs for your attendance at the conference, as Velo-city does not dispose of funding to meet such expenses of potential participants. If you lack funding to cover your expenses to participate in Velo-city, we suggest contacting external institutions for this type of financial support. In case you need a letter of invitation or a confirmation of participation, please contact Velo-city 2013 program Director Andrea Weninger.

Is there any possibility to reduce my expenses for accommodation during the conference,

such as a homestay program?

There is no extra program available within the scope of the conference organisation that offers homestays in Vienna for the time of the conference. I would like to hand in a submission for Velo-city 2013. Is that still possible at this stage?

The Call for Contributions closed in October 2012. Due to the guidelines and organisational requirements, we unfortunately cannot accept any belatedly submitted abstracts or other speaking requests. We have already finished our program planning. If there are any changes in our procedure, we will certainly contact you.

My submission for a contribution was rejected.

Is there any chance that I can nevertheless present at Velo-city 2013?

Due to the great number and high academic level of the submissions, we were unfortunately unable to integrate all entries into the Velo-city 2013 conference program. At this point (February 2013), the preliminary program has been formulated. For this draft program, we expect a dropout rate of submitters of about 5-10%. The Program Team of Velo-city 2013 will contact potential submitters to fill these gaps.

Will I be notified about the successful submission of my project?

How can I get an accreditation as a journalist for Velo-city 2013?

During Velo-city 2013, a certain number of press accreditations will be available. To register for a press accreditation, please refer to the procedure described on the Velo-city 2013 website. Will my partner be bored if I bring him/her along to Velo-city in Vienna?

Of course not. The Velo-city conference will be accompanied by a rich public program available for free in the public spaces of Vienna in order to celebrate the bicycle as an integral cultural element of a “smart city”. There also exists the possibility to purchase a ticket (price: € 100) for delegates’ partners, which covers participation in the social events of the conference. If your partner is not interested in cycling at all, there are numerous other possibilities to spend a great week in Vienna. See wien-event website  for more information about these options.

Will a conference documentation be made available on the Web?

The Management Team of Velo-city 2013 aims to document selected conference content to make it available for free on the Web.

Is there a mandatory helmet law for cycling in Austria? Do I have to bring my helmet with me?

There is no mandatory helmet law in Austria. So legally you don’t have to wear a helmet when cycling in Vienna during Velo-city. However, if you prefer to cycle with a helmet, you can either bring your own or purchase one of the helmets provided by Velo-city 2013.
